ROSA Office Ergonomics: A Practical Desk Assessment Guide

Office work looks harmless next to a factory floor. No loads, no machinery, no obvious hazard. Yet desk-based musculoskeletal complaints — neck strain, shoulder tension, wrist discomfort, lower back pain — remain one of the most common reasons office staff report discomfort to occupational health teams.

The difficulty is that the risk is cumulative rather than acute. Nobody injures themselves in a single moment at a desk. The strain builds across thousands of hours in a chair that is slightly too low, looking at a monitor that is slightly too far away. That is exactly the kind of exposure ROSA was designed to quantify.

What ROSA actually measures

ROSA — Rapid Office Strain Assessment — scores the workstation rather than the worker. This is the key distinction from tools like RULA, and it changes what you do with the result.

A ROSA assessment scores five components independently:

Each component gets a sub-score, adjusted for how many hours per day the worker is exposed to it. Those sub-scores combine into a single final ROSA score.

Why duration matters: ROSA applies a duration multiplier to every component. A poorly positioned monitor used for thirty minutes a day scores very differently from the same monitor used for seven hours. This is why simply photographing a desk is not enough — you need to know how long the person actually sits there.

Reading the score

The final ROSA score runs from 1 to 10. In general practice, the bands are interpreted as follows:

A score of 5 does not mean somebody is injured. It means the exposure pattern is one that tends to produce complaints if left unchanged, and that a low-cost fix now is cheaper than a claim later.

The fixes that actually move the score

Office ergonomics attracts a lot of expensive advice. In practice, most ROSA scores are driven down by a small number of unglamorous adjustments.

Chair height before anything else

Most office chairs are set too low, which pushes the elbows below the desk surface and forces the shoulders to compensate. Set the chair so the elbows sit at roughly 90 degrees at the work surface, then fix whatever that breaks. If the feet no longer reach the floor, add a footrest — do not lower the chair again.

Monitor height and distance

The top of the screen should sit at or just below eye level, roughly an arm’s length away. A stack of books solves this as effectively as a monitor arm. The common failure mode is a laptop used on a desk without a stand, which forces sustained neck flexion for the entire working day.

Get the phone off the shoulder

Cradling a handset between ear and shoulder produces one of the most severe sustained neck positions in office work, and ROSA scores it heavily. A headset is inexpensive and removes the exposure entirely.

A note on standing desks: a sit-stand desk is not automatically a lower ROSA score. A badly configured standing setup simply relocates the strain. What reduces risk is the change of posture across the day, not the desk itself.

Running ROSA at scale

The practical obstacle with ROSA is not the method — it is volume. Assessing one desk is straightforward. Assessing four hundred desks across three floors, then re-assessing after changes, is where paper-based workflows collapse.

This is where a phone-based workflow changes the economics. Capturing the seated posture with a camera, answering the duration questions, and generating a scored report takes a few minutes per workstation rather than half an hour. More importantly, the results are stored in a comparable format, so the before-and-after comparison after an intervention is automatic rather than a manual exercise in spreadsheet reconciliation.

For teams running an office ergonomics programme, that comparability matters more than the individual score. A single ROSA score tells you about one desk. A hundred ROSA scores, tracked over two quarters, tells you whether your intervention budget is working.

Where ROSA fits alongside other tools

ROSA is specific to seated computer work. If the same worker also performs manual handling — lifting boxes of files, moving equipment — ROSA will not capture that exposure. In mixed environments it is common to run ROSA for the desk component and REBA or the NIOSH lifting equation for the physical tasks, then treat the combination as the worker’s overall risk picture.

Choosing the wrong tool is the most common error in office assessments. Running RULA on a desk worker tells you about their posture at the moment you observed them, which may or may not be representative. Running ROSA tells you about the setup they return to every day.
