Account & Data Deletion

Last updated: September 2, 2026  ·  Ergzo Solutions Private Limited

This page explains how to request deletion of your Ergzo account and the personal data associated with it, what is erased, what may be retained and why, and how long the process takes. You do not need to install the app to make a request.

1. How to Request Deletion

You can request deletion in either of two ways.

From the web (no app required)

Email privacy@ergzo.com with the subject line “Account deletion request”.

Send from the email address registered to your Ergzo account, and include your organisation name so we can locate the correct record.

From inside the app

Open Legal & Support → Request account deletion. The app submits a formal erasure request under the Digital Personal Data Protection Act, 2023, suspends your account immediately, and signs you out.

ℹ️

Verification: because Ergzo accounts are provisioned by an employer or customer organisation, we may ask you to verify your identity or your role within that organisation before acting on a request.

2. What Happens After You Request

  1. Your account is suspended immediately and all active sessions are revoked. You will not be able to sign in.
  2. We acknowledge your request within 3 business days.
  3. We confirm in writing within 30 days what has been erased, what has been retained, and the lawful basis for retaining it.

3. What Is Deleted

On completion of a deletion request, we erase the personal data that identifies you as a user of Ergzo:

4. What May Be Retained

Ergzo is a workplace occupational health and safety tool. Some records created through the service form part of an employer’s safety documentation and cannot be deleted on an individual’s request alone.

CategoryRetentionReason
Assessment and session records7 years from creationOccupational health and safety recordkeeping; intervention history
Self-reported discomfort survey responses7 years from creationLinked to the assessment record they inform
Deletion and access request records3 yearsEvidence of our compliance with statutory requests

Where a worker identifier is removed from an assessment record, Ergzo displays a default or pseudonymous label in place of the original name rather than deleting the safety record itself.

⚠️

Records held by your employer: where Ergzo processes worker assessment records on behalf of a customer organisation, that organisation is the data fiduciary for those records. We may need to route your request to them, and we will tell you when we do.

Full retention periods for every category of data are set out in Section 7 of our Privacy Policy.

5. Deleting Specific Data Without Deleting Your Account

You can ask us to delete specific personal data while keeping your Ergzo account active — for example, your designation, an uploaded profile photo, or your device messaging token.

Email privacy@ergzo.com with the subject line "Partial data deletion request" from your registered email address. Tell us which data you want deleted and include your organisation name.

We acknowledge requests within 3 business days and confirm the outcome in writing within 30 days. The retention rules in Section 4 still apply: assessment records, session records and discomfort survey responses that form part of your employer's safety documentation may be retained.

6. Deleting an Entire Organisation Account

If you are an administrator and wish to close your organisation’s Ergzo workspace entirely, email support@ergzo.com from your registered administrator address. We will confirm the scope of deletion, provide a data export if requested, and set out any records that must be retained under the terms above.

ℹ️

Before you delete: you can download a copy of the personal data we hold about you at any time from Legal & Support → Data Export in the app.

7. If You Are Not Satisfied

Privacy requests and grievances are handled by our Grievance Officer. If you are not satisfied with our response, or if we do not respond within the period set out above, you may make a complaint to the Data Protection Board of India in the manner provided under the Digital Personal Data Protection Act, 2023 and the rules made under it.
